Privacy Policy

This policy explains how IMAGYNEX LLC, the operator of RENTEX, collects, uses and protects data.
1. What we collect
- Owners and their teams: name, email, password (stored as a one-way hash), two-step verification settings and business details.
- Tenant data entered by owners: name, email, mobile, nationality, ID type and number (stored encrypted; only the last 4 digits are shown).
- Contracts, invoices, payments and receipts.
- Signing evidence: signature image, time, IP address, device type and document fingerprint.
- Technical data: sign-in and security logs. We use no advertising trackers; only cookies needed for sign-in, security, language and theme.
2. Why we use it
To provide the service: managing and signing contracts, issuing invoices and receipts, sending reminders and notices, preventing fraud and protecting accounts, collecting subscriptions, and meeting legal duties. We do not sell data or use it for advertising.
3. Who processes it for us
- Hostinger: servers, database and email hosting.
- Stripe: subscription payments, and rent payments when an owner connects their account (card details never touch RENTEX).
- Anthropic (Claude): reading contract images that an owner chooses to upload to turn them into a template; pages are sent for reading and the images are not stored.
- Independent timestamp authorities (such as DigiCert): receive only the document fingerprint, not its content.
- Google Fonts: the marketing home page loads its fonts from Google servers, which receive your IP address and browser type when you open it. The dashboard and the tenant portal use fonts hosted by us.
4. Retention
Account data is kept while the account is active. Signed contracts, their evidence and audit records are kept as long as the law or the protection of the parties requires. Verification codes and sessions are deleted automatically when they expire.
5. Security
Encrypted connections (HTTPS), encrypted ID numbers, two-step verification for owners, short sessions, a tamper-evident audit log, and regular backups.
6. Your rights
You can ask to see, correct or delete your data. Tenants may contact the owner who entered their data, or us directly and we will involve the owner.
7. International transfers
Data may be processed outside your country by the providers above, with appropriate safeguards.
